Job Description
I would be applying for the post of Front office Executive at the Peninsula Excelsior hotel. The job duties and responsibilities include collaborating with the reservations department to handle group reservations, working with the tour leader and tour guide in assigning and allocating rooms for group check ins, deciding on group rates and complimentary room policies, and dissemination group lists to various departments after group arrivals.

The basic requirement for this position is minimum GCE ‘O’ level with 1 year relevant working experience as Guest Relations Officer or Group Coordinator. The applicant must also have a good working attitude, friendly disposition and confident personality.

Company Description
The Peninsula Excelsior Hotel is a newly renovated hotel in Singapore. It has an old tradition of impeccable hospitality. It has a comprehensive range of modern facilities and accommodation expected by today’s discerning tourists and business travelers and is located right in the heart of the city. The two towers of the Peninsula Excelsior Hotel offer 600 tastefully decorated rooms and suites above 100 vibrant shopping units with a wonderful view of the harbor.
The hotel has an excellent business center with facilities for private business meetings. High-speed Internet connections are available, along with projectors and flip charts to help in organizing seminars and conferences.

It is also geared to meet the requirements of tourists looking for peace and relaxation with comprehensive facilities in the form of an unusual underwater lounge, 2 pools, a gym and spa. The hotel has recently been renovated and features three different types of rooms, namely premier club, business suites and standard guestrooms.

Important Qualifications for the Job
As the front office executive responsible for handling large groups of guests, the Peninsula Excelsior hotel is looking for a competent and qualified individual with a knack for dealing with people and one who would add to its high standards of hospitality. The individual would be qualified to work on complimentary room tariffs and group rates. He should be well versed with current trends in the hospitality industry and have an innate ability to work with other departments.

Job Analysis
I would be well qualified for this position as I have relevant work experience in the front office department. I am well versed with handling large groups of guests, coordinating with the respective managers of different departments, creating and maintaining schedules which help in smooth transfer of guests to their rooms without wasting time.

The project assessment memo is an assessment of my job application. This includes the context of the project, documentation, production and summary.

Context of the Project
I was extremely interested in furthering my career in the hospitality industry. Having worked for a year in the front office I felt I was ready to move on to larger responsibilities within the industry. My goal therefore was to find relevant job openings that were suitable for my qualifications and work experience. Having searched the net I came across this current opening at the Peninsula Excelsior Hotel, which seemed particularly suitable and relevant to me.

The 2 most critical documents for this project were my resume and the covering letter for the job application.

Covering Letter: I put in all relevant information regarding my work experience and qualifications in the covering letter to elicit enough interest for my resume to be read.

Resume:  Since I did not have much work experience I focused on my educational qualifications first in my resume and then went on to outline what my current job as front office assistant entailed. This was to highlight the fact that my current line of work was extremely suited to the job opportunity.

There were 3 parts to this phase namely Research, Planning and Strategy.

Research: I researched the Internet to find relevant job openings, which fit my qualifications and work experience. Having found the Peninsula Excelsior job opening, I went through the hotel website and gathered as much information as I could.

Planning: I worked on my covering letter and resume in order to make it as professional as possible.

Strategy: As I didn’t have much work experience I focused on my educational qualifications in my resume and spoke of my personal capabilities in handling people in the covering letter.

For this project I used an existing cover letter and resume and worked on them to meet the criteria provided in the job description.  I believe that I constructively added value to the existing information in these documents in order to successfully advertise my qualifications.  I added information about myself that ensured the employer that I am an excellent candidate for the position.  I utilized common business writing techniques to create a professional style and look for my cover letter and resume.  I am confident that the materials that I prepared will make me a competitive and attractive candidate for the Front Office Executive position at the Peninsula Excelsior Hotel.
